Managing Compressed Reports

Within the Aente platform, the compressed report functionality is a powerful tool for your operation, enabling the sharing and grouping of all appointments and exams performed at your location. With practical filters, it allows you to retrieve information with greater precision.
Generating an Appointment Report Document
To generate a report document regarding the appointments made in your account, certain requirements must be met:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for generate a report, including the following:

- Report Get All
Once all necessary configurations are in place, you can proceed with the steps below to generate an appointment document.
Steps to Generate an Appointment Report
- Click on the module labeled “Reports”.
- After entering the module, select the option “Compressed report”.
- Ensure that the field “Report Type” is set to “Appointments report”.
- Click on the field Date and use it to filter your appointments by a specific time period.
Example: To download a JSON file of appointments made between January and February of the current year, select the date filter from 01/01/2024 to 31/02/2024.
- Click the “Generate report” button.
- Wait for your report to appear in the list below with the status “Processing”.
- Refresh the page.
- Once the status changes, click on Download File to download a .zip file to your browser containing all the appointments made during the selected period.
Note: If the selected period contains no data, no download will be available, and you must choose another period.
Sharing an Appointment Report via Email
To share report documents regarding appointments made in your account, certain requirements must be met:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for sharing reports, including the following:

- Report Get All
Once all necessary configurations are in place, you can proceed with the steps below to share a report document:
- Click on the module labeled “Reports.”
- After entering the module, select the option “Compressed report”.
- Ensure that the field “Report Type” is set to “Appointments report”.
- Click on the field Date and use it to filter your appointments by a specific time period.
Example: To send by email the files of appointments made between January and February of 2024, select the date filter from 01/01/2024 to 31/02/2024.
- Fill in the Destination emails field with the email(s) you wish to receive the report(s).
Note: The Destination email field will already be filled with your email. If desired, remove it by clicking the X and add another.
- Click the “Generate report” button.
- Wait for your report to appear in the list below with the status “Processing”.
Note: If the selected period contains no data, no download will be available, and you must choose another period.
- Once the status changes, a link will be sent to the selected email(s). Access and click it.
- After clicking, the link will redirect you to the system’s page. Click the Download button.
- Done! The .zip file will be downloaded to your browser, containing all the appointments made during the selected period.
Filtering Reports by Client
To generate a report document for appointments made by a specific client in your account, certain requirements must be met:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for generate a report, including the following:

- Report Get All
Once all necessary configurations are in place, you can proceed with the steps below to generate an appointment document.
- Click on the module labeled “Reports.”
- After entering the module, select the option “Compressed report”.
- Ensure that the field “Report Type” is set to “Appointments report.”
- Click on the field Date and use it to filter your appointments by a specific time period.
Example: To download the file of appointments made between January and February of the current year, select the date filter from 01/01/2024 to 31/02/2024.
- Fill in the SSN field with the data of the specific client you want to check.
Note: The client’s SSN is directly linked to the date field. If a client only has appointments in January and you set the date field to December, no data will be returned.
- Click the “Generate report” button.
- Refresh the page.
- Done! After refreshing, the search status will be updated. Click Download File to download a .zip file containing all the appointments made by that client during the selected period across all locations.
Note: If the selected period contains no data, no download will be available, and you must choose another period.
Filtering Reports by Location
To generate a report document for appointments made in a specific location in your account, certain requirements must be met:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for filtering a report, including the following:

- Report Get All
Once all necessary configurations are in place, you can proceed with the steps below to generate an appointment document.
- Click on the module labeled “Reports.”
- After entering the module, select the option “Compressed report”.
- Ensure that the field “Report Type” is set to “Appointments report”.
- Click on the field Date and use it to filter your appointments by a specific time period.
Example: To download the file of appointments made between January and February of the current year, select the date filter from 01/01/2024 to 31/02/2024.
- Click on the Locations field.
- Select the location(s) you want to use as a filter.
Example: If you want to see only the appointments made at the Aente California location during a specific period, simply select it.
- Click the “Generate report” button.
- Refresh the page.
- Done! After refreshing, the search status will be updated. Click Download File to download a .zip file containing all the appointments made at the selected location during the chosen period.
Note: The same filters can be used alongside the service and customer filters.
Filtering Reports by Service
To generate a report document for appointments related to a specific service in your account, certain requirements must be met:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for generate a report, including the following:

- Report Get All
Once all necessary configurations are in place, you can proceed with the steps below to generate an appointment document:
- Click on the module labeled “Reports”.
- After entering the module, select the option “Compressed report”.
- Verify that the “Report Type” field has the value “Appointments report” selected.
- Click on the “Date” field and use it to filter your appointments by a specific time period.
Example: If you want to download the file for appointments made between January and February of 2024, select the filter from 01/01/2024 to 31/02/2024.
- Click on the “Service” field.
- Select the service(s) you want to use as a filter.
Example: If you want to see only the appointments made for the service “Routine Consultation” within a certain time period, simply select it.
- Click the “Generate report” button.
- Refresh the page.
- Done! After refreshing the page, the search status will be updated. Click on “Download File” to download a .zip file in your browser, containing all the appointments made for that service during the chosen period across all locations.
Note:If the chosen period does not have any available data, no download will be provided, and another period must be selected.
Note: This filter can also be used in conjunction with the service and customer filters.
