Managing Charting by exceptions

At AENTE, practicality and ease of use go hand in hand, so with these characteristics in mind, the charting by exceptions feature was created. With it, users can predefine response patterns for the fields in their forms. This feature is particularly useful in situations where the service forms are very extensive or could benefit from a default response. Throughout this manual, more details about how this functionality behaves will be addressed.

Creating Charting by exceptions

To begin creating a charting by exceptions, certain prerequisites must be met, as outlined below:

  1. You must have a provider account.
  2. Your provider account must be assigned a role with the appropriate permissions for creating charting by exceptions and acess categories and form Itens, including the following:

  1. Service forms (form category + form items) created and active in your account.

Once all necessary configurations are in place, you can proceed with the steps below to create an charting by exceptions:

  1. Click on the module labeled “Medical.”
  2. After entering the module, select the option “Charting by exceptions.”
  3. Click the blue button to initiate the creation of a new charting by exceptions
  4. After viewing the charting by exceptions creation page, fill in the Name field with a unique value.
  5. Click on the Form field and select the desired form.

Note: After selecting the desired form, the fields within it will be displayed to the user. Therefore, it is essential to have a well-configured form in your account to avoid selecting a form that does not contain any fields.

  1. Fill in the displayed fields with the desired data to predefine the answers that each field will receive during a consultation.

Note: Not all fields in the form need to be filled out.

  1. After completing all fields, click on “Create charting by exceptions”.
  2. Done! Your exception has been successfully created.

Editing Charting by exceptions

To begin editing an charting by exceptions, you must first meet the following prerequisites:

  1. You must have a provider account.
  2. Your provider account must be assigned a role with the appropriate permissions for editing associated laboratories, including the following:

Once all necessary configurations are in place, you can proceed with the steps below to edit an charting by exceptions:

  1. Click on the module labeled “Medical.”
  2. After entering the module, select the option “Charting by exceptions.”
  3. Click the blue button to initiate the creation of a new charting by exceptions
  4. When the list of Charting by exceptions appears, enter the name of the charting you wish to edit in the search field.
  5. If a charting matching the searched name exists, the system will display options corresponding to your search.
  6. After locating the desired charting, click on it.
  7. At this point, the system will display the chartings form, pre-filled with the information provided at the time of its creation.
  8. Now, simply delete the information from the desired field and enter the new data.

Example: Se for necessário editar a informação pré definida que o campo irá receber, basta apagar a informação antiga e fornecer uma nova no mesmo local.

  1. Once all the necessary information has been edited, click the blue button labeled “Update Charting by exception” and that’s it! Your form will be successfully updated in the system.

Deleting Charting by exceptions

Note: Nothing is deleted from the system and everything that is “deleted” is actually a status change. Once an item has been deleted your may recover and change the status back to active.

To begin deleting an Charting by exception, you must first meet the following prerequisites:

  1. You must have a provider account.
  2. Your provider account must be assigned a role with the appropriate permissions for deleting Charting by exceptions, including the following:

Once all necessary configurations are in place, you can proceed with the steps below to delete a Charting by exception:

  1. Click on the module labeled “Medical.”
  2. After entering the module, select the option “Charting by exception”
  3. When the list of Charting by exception appears, enter the name of the charting you wish to delete in the search field.
  4. If a Charting by exception matching the searched name exists, the system will display options corresponding to your search.
  5. After locating the desired Charting, click on it.
  6. At this point, the system will display the Charting by exception’s form, pre-filled with the information provided at the time of its creation.
  7. Now, simply click on the “Delete Charting by exception” option, and that’s it! The Charting will be successfully removed from your list of chartings.

How to use a previously created charting by exception

To use a charting by exception efficiently, certain prerequisites must be met:

  1. You must have a provider account.
  2. Your provider account must be assigned a role with the appropriate permissions for utilizar Charting by exceptions, including the following:
  3. You must have a customer appointment where you are the chosen provider for the service.

Once all necessary configurations are in place, you can proceed with the steps below to use a Charting by exception:

  1. Click on the module labeled “Appointment.”
  2. After entering the module, select the option “Appointment”
  3. After viewing the list of appointments, select one of them.

Note: The selected appointment must have a service form, and the form must be THE SAME one used to create the charting by exception.

  1. Click on Fill EMR
  2. When you see the EMR tab, click on it.
  3. Click on the field “Fill the EMR faster by choosing a charting by exception.”
  4. If all prerequisites have been met and the charting by exceptions have been created correctly, the system will display all available chartings for selection. Choose one of them.
  5. Click on Fill answers.
  6. Done! Now, observe all the answers being automatically filled into the fields that were configured during the charting creation process.

Restoring Charting by exceptions

To begin restoring an Charting by exception, you must first meet the following prerequisites:

  1. You must have a provider account.
  2. Your provider account must be assigned a role with the appropriate permissions for restoring Charting by exceptions, including the following:
