Create Appointment

Within AENTE, the appointment creation feature is the greatest facilitator for scheduling activities. It allows you to schedule appointments for both customers who are already registered with your business and for customers who do not yet have an account created, thus facilitating their registration.

Creating Appointment - Pre-existing Customer

To begin creating an appointment, certain prerequisites must be met, as outlined below:

  1. You must have a provider account.
  2. There must be customers already created and properly registered in your account.
  3. Your provider account must be assigned a role with the appropriate permissions for creating appointment, including the following:

Once all necessary configurations are in place, you can proceed with the steps below to create an appointment:

  1. Click on the module labeled “Appointments”.
  2. Fill in the Main problem field.

Note: This field is mandatory and should be filled with the issue the patient is addressing, preferably including information directly related to the selected service.

Note: This field is independent per service; if another client needs to perform the same service and the same name is provided in the Main problem field, it will be counted independently in the system.

  1. Select the service you wish to schedule for that user
  2. Click the Choose location and time button
  3. Select the location where the client will undergo their procedure

Note: The locations are created and configured in the Locations resource within the Operational module.

  1. Select the provider who will attend to that client.
  2. Select the date on which the appointment will take place.

Note: If no available day is shown for selection, you’ll need to either configure more available days for the provider in the Provider resource within the Operational module, or choose a different provider to attend to this client.

  1. Select the time for when the client’s appointment will occur.
  2. Click the Patient info button.
  3. Select the client for whom the appointment will be scheduled.

Note: If the client user does not yet exist in the system, simply click the + icon next to the search field

  1. Click the Schedule appointments button.
  2. Done! This will properly create the issue, containing information such as:
  • Patient details (name, email, phone, DOB, and gender)
  • The service(s) selected for that issue
  • Options to add a new appointment or edit the name of the Main problem

Note: Any edits made to the scheduling information will be properly recorded in the History field*

Creating Appointment - New Customer

  1. Select the time for when the client’s appointment will occur.
  2. Click the Patient info button.
  3. Clique no botão de + localizado no canto superior direito do card de clientes.
  4. Fill in the required fields to create a customer within the system.

Note: If the system indicates that it is not possible to create the customer because their data is already being used in the system, it means they are registered under another account. In such cases, it will be necessary to go through the consent acceptance process.

  1. Click on Create Customer.
  2. Done! At this point, simply follow all the previous steps again, select the customer you just created, and proceed to the next step of data confirmation.
  3. Finally, click on Schedule Appointments.
