Managing Workflow - Procedures

Within Aente, there is the Workflow feature. This submodule is intended for creating the technical information of services. In this feature, the user can add information that will be included in the report, such as consumables, equipment used, and providers responsible for this workflow, and also add release parameters.
Creating Workflow
To begin creating a Workflow, certain prerequisites must be met, as outlined below:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for creating services, including the following:

- Service Workflow Create
- Service Workflow Get All/Get Self
- Service Workflow show
- Service Workflow Update/Update All
- Procedure Get All/ Get Self
- Form item Get All/Get self
Once all necessary configurations are in place, you can proceed with the steps below to create a Service:
- Click on the module labeled “Operational”
- After entering the module, select the option “Service WorkFlows”
- Click the blue button to initiate the creation of a new workflow
- Upon accessing the creation form for workflows, you can begin filling out the required fields. These fields are sufficient to correctly create a workflow, and they include: Name | Type | Report Name | Report Name (Portuguese)
Note 1.0: IMPORTANT: Pay attention when selecting the workflow type. Depending on the type selected, some fields, such as Procedures, will not be displayed on the screen. The option chosen in the “Type” field must be “Procedure.”
Note 2.0: It is important to pay attention to the “Procedure” field, as this is how we will determine which service form will be shown to the provider attending to the client. Example: If a procedure with 20 geriatrics-related questions is attached to this workflow, and this workflow is attached to a service, the questions shown to the provider will be related to the geriatrics specialty.

After selecting the “Procedure” type when creating the workflow, a field named “Report Template” will be displayed. This field is used to customize your report, which will be available for download within the EMR form. You can use the buttons: Add items to report | Add patient to report | Add patient document to report to customize it as you wish, in addition to being able to write any information in this field.

After ensuring that all the required fields have been filled out, simply click the blue button labeled “Create Workflow”, and that’s it! Your workflow will be successfully registered in the system.
Editing Workflow
To begin editing a Workflow, certain prerequisites must be met, as outlined below:
- You Must have a provider account
- Your provider account must be assigned a role with appropriate permissions for editing workflows, including the following:

- Service Workflow Get All/Get Self
- Service Workflow show
- Service Workflow Update/Update All
- Procedure Get All/ Get Self
- Form item Get All/Get self
Once all necessary configurations are in place, you can proceed with the steps below to edit a Workflow:
- Click on the module labeled “Operational”.
- After entering the module, select the option “Workflow”
- When the list of workflows appears, enter the name of the workflow you wish to edit in the search field.
- If a workflow matching the searched name exists, the system will display options corresponding to your search.
- After locating the desired service, click on it.
- At this point, the system will display the workflows form, pre-filled with the information provided at the time of its creation.
- Now, simply delete the information from the desired field and enter the new data.
Example: If the “Name” field needs to be changed because the workflow has a new name, just delete the old name and provide the new one.
- Once all the necessary information has been edited, click the blue button labeled “Update Workflow,” and that’s it! Your workflow will be successfully updated in the system
Deleting Workflow
Note: Nothing is deleted from the system and everything that is “deleted” is actually a status change. Once an item has been deleted your may recover and change the status back to active.
To begin Deleting a Workflow, certain prerequisites must be met, as outlined below:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for deleting workflows, including the following:

- Service Workflow Get All/Get Self
- Service Workflow Delete / Delete All
- Service Workflow show
- Service Workflow Update/Update All
- Procedure Get All/ Get Self
- Form item Get All/Get self
Once all necessary configurations are in place, you can proceed with the steps below to delete a Workflow:
- Click on the module labeled “Operational.”
- After entering the module, select the option “Workflow.”
- When the list of workflows appears, enter the name of the workflow you wish to delete in the search field.
- If a workflow matching the searched name exists, the system will display options corresponding to your search.
- After locating the desired workflow, click on it.
- At this point, the system will display the service form, pre-filled with the information provided at the time of its creation.
- Now, simply click on the “Delete workflow” option, and that’s it! The workflow will be successfully removed from your list of services
Restoring Workflow
To begin restoring a workflow, certain prerequisites must be met, as outlined below:
- You must have a provider account.
- Your provider account must be assigned a role with the appropriate permissions for restoring workflows, including the following:

- Service Workflow Get All/Get Self
- Service Workflow Restore / Restore All
- Service Workflow show
- Service Workflow Update/Update All
- Procedure Get All/ Get Self
- Form item Get All/Get self
Once all necessary configurations are in place, you can proceed with the steps below to restore a service:
- Click on the module labeled “Operational.”
- After entering the module, select the option “Workflows.”
- At this point, you will need to adjust the filter to display only deleted workflows by selecting the option “Only Trashed.”
- After completing the previous step, the system will display all workflows that were once part of your operations but are now deleted. Enter the name of the workflow you wish to restore in the search field.
- When you locate the desired workflow, click on the option shown in the list.
- Upon seeing the yellow card above the form, click on “Restore.”
That’s it! The workflow that was previously deleted has now been restored to your list of active workflows and can be used without issue.
