Managing Services Workflow - Exams

Within Aente, there is the Workflow feature. This submodule is intended for creating the technical information of services. In this feature, the user can add information that will be included in the report, such as consumables, equipment used, and providers responsible for this workflow, and also add release parameters. The workflow has two types:

Diagnosis

  • Focused on qualitative laboratory exams.

Procedure

  • Focused on general consultations.

Creating the Workflow for Rapid Test

To create a Workflow, certain prerequisites must be met:

  • You must have a provider account and be associated with an account;
  • Have the appropriate permissions to create the Workflow;

Once all necessary configurations are in place, you can proceed with the steps below:

  1. Access the Operational Module and select the Workflow tab.
    Note: You can search for this in the search bar at the top of the system by typing “workflow” and selecting the first option.
  2. Check if a workflow has already been created for the exam.
  3. Click the + button in the upper left corner.
  4. Add the name of the Workflow. This name will be important for searching in the Workflow tab and adding the workflow in the Service tab.
  5. In the Type field, select Diagnostic.
  6. In the Class field, select RapidTest.
    Note: This field affects the formatting of the result release. The category “RapidTest” is used for Immunochromatography tests.
  7. Select the status of this workflow—this selection will help categorize it in the search area.
  8. In the Technical Note PT and Technical Note EN fields, add the information that will appear in the Results Report in both English and Portuguese. The information should be added sentence by sentence.
    Note: Adding information sentence by sentence ensures that the formatting follows the order of addition, one below the other.
  9. In the Reference Value PT and Reference Value EN fields, add the reference value for the exam in both English and Portuguese; this information will appear in the report.
  10. In the Method Value PT and Method Value EN fields, add the method of the exam in both English and Portuguese; this information will also appear in the report.
  11. In the Report Name PT and Report Name EN fields, add the name of the exam in both English and Portuguese; this will be the title in the report.
  12. Click the Create Workflow button.
  13. Click on the People tab, then click the Add People button.
  14. In the People field, select the providers involved in the workflow, then in the Time in Minutes field, specify how long each provider will be in this workflow.
  15. Click on the Equipment tab, then click the Add Equipment button.
  16. In the Equipment field, select the equipment to be used in this workflow.
    Note: These pieces of equipment should be created in the “Raw Item Module” as Raw Items.
  17. In the Size field, select the unit of measurement for the equipment being added, and then in the Time in Minutes field, add the duration for which this equipment will be used in the workflow.
  18. After adding all the information, click the Save button.
  19. Click on the Consumables tab, then click the Add Consumables button.
    Note: These consumables are the raw items created in the “Raw Item Module”.
  20. In the Item field, select the items that will be used during the workflow.
  21. The Size field should indicate the size of the item that will be used in the workflow.
    Note: This size was added in the Metadata of the Raw Item.
  22. In the Quantity field, specify the quantity of these items that will be used.
  23. In the Sample Status of the Exam field, select the status in which this item will be used.
    Note: When choosing the status, the system will only deduct this item from stock after this status is selected.
  24. After adding all the information, click the Save button.
  25. For this type of “Class,” it is not necessary to add information in the Result Equation tab.
  26. Click on the next tab Validation where technical and procedural information for the exam is added.
  27. In the Attach Reference File and Attach Reference Report fields, you can add PDF files. Click the field and select the file.
    To view, click the green option on the right, and to download, click the cloud icon on the left.
  28. The options Add Target, Cycling Step, and Reaction Volumes are intended for Real-Time PCR exams.
  29. Return to the Workflow Details tab and click the Update Workflow button.

Editing the Workflow for Rapid Test

To edit a Workflow, certain prerequisites must be met:

  • You must have a provider account and be associated with an account;
  • Have the appropriate permissions to edit the Workflow;

Once all necessary configurations are in place, you can proceed with the steps below:

  1. Access the Operational Module and select the Workflow tab.
  2. Select the Workflow to be edited.
    You can search using the Search field by entering the name of the Workflow, the name of the responsible provider, ID number, exam Class, or the report name.
  3. In the Workflow Details tab, after making changes to the fields, click the Update Workflow button to save.
  4. In the People tab, to make changes to providers, click the blue button in the Actions column. After making changes, click Save.
  5. In the Equipment tab, to make changes to equipment, click the blue button in the Actions column. After making changes, click Save.
  6. In the Consumables tab, to make changes to consumables, click the blue button in the Actions column. After making changes, click Save.
  7. In the Result Equation tab, to make changes to equations, click the blue button in the Actions column. After making changes, click Save.
  8. In the Validation tab, to make changes to file fields, click the field and select another file to update. After making changes, click Update Validation at the bottom of the page.

Deleting the Workflow for Rapid Test

Note: Nothing is deleted from the system and everything that is “deleted” is actually a status change. Once an item has been deleted your may recover and change the status back to active.

To delete a Workflow, certain prerequisites must be met:

  • You must have a provider account and be associated with an account;
  • Have the appropriate permissions to delete the Workflow;

Once all necessary configurations are in place, you can proceed with the steps below:

  1. Access the Operational Module and select the Workflow tab.
  2. Select the Workflow to be deleted.
  3. Scroll to the bottom of the page and click the Delete Workflow button, then confirm in the pop-up window.

Workflow Restoration for Rapid Test

  1. Access the Operational Module and select the Workflow tab. Note: You can search for this in the search bar at the top of the system by typing “workflow” and selecting the first option.
  2. In the Filters field, select the Trash option. All deleted workflows will appear.
  3. Search by name, ID, or Updated by, using the Search field.
  4. Select the desired workflow.
  5. Once the page opens, a yellow banner will appear at the top. Click the Restore button.
  6. When a window pops up, click OK.

WorkFlow for ELISA

Creating the Workflow for ELISA

To create a Workflow, certain prerequisites must be met:

  • Have the appropriate permissions to create the Workflow;

  2. Check if a workflow has already been created for the exam.
  3. Click the + button in the upper left corner.
  4. Add the name of the Workflow—this name will be important for searching in the Workflow tab and adding the workflow in the Service tab.
  5. In the Type field, select Diagnostic.
  6. In the Class field, select ELISA.
    Note: This field affects the formatting of the result release. The category “ELISA” is used for Immunoenzymatic Serological tests.
  7. Select the status of this workflow—this selection will help categorize it in the search area.
  8. In the Technical Note PT and Technical Note EN fields, add the information that will appear in the Results Report in both English and Portuguese. The information should be added sentence by sentence.
    Note: Adding information sentence by sentence ensures that the formatting follows the order of addition, one below the other.
  9. In the Reference Value PT and Reference Value EN fields, add the reference value for the exam in both English and Portuguese; this information will appear in the report.

  12. Click the Create Workflow button.
  13. Click on the People tab, then click the Add People button.
  14. In the People field, select the providers involved in the workflow, and in the Time in Minutes field, specify how long each provider will be in this workflow.
  15. Click on the Equipment tab, then click the Add Equipment button.
  16. In the Equipment field, select the equipment to be used in this workflow.
    Note: These pieces of equipment should be created in the Raw Item Module as Raw Items.
  17. In the Size field, select the unit of measurement for the equipment being added, and then in the Time in Minutes field, add the duration for which this equipment will be used in the workflow.
  18. After adding all the information, click the Save button.
  19. Click on the Consumables tab, then click the Add Consumables button.

  20. In the Item field, select the items that will be used during the workflow.

    Note: You can search using the Search field by entering the name of the Workflow, the name of the responsible provider, ID number, exam Class, or the report name.
  3. In the Workflow Details tab, after making changes to the fields, click the Update Workflow button to save.
  4. In the People tab, to make changes to providers, click the blue button in the Actions column. After making changes, click Save.
  5. In the Equipment tab, to make changes to equipment, click the blue button in the Actions column. After making changes, click Save.
  6. In the Consumables tab, to make changes to consumables, click the blue button in the Actions column. After making changes, click Save.
  7. In the Result Equation tab, to make changes to equations, click the blue button in the Actions column. After making changes, click Save.
  8. In the Validation tab, to make changes to file fields, click the field and select another file to update. After making changes, click Update Validation at the bottom of the page.

Deleting the Workflow for ELISA

Note: Nothing is deleted from the system and everything that is “deleted” is actually a status change. Once an item has been deleted your may recover and change the status back to active.

  • Have the appropriate permissions to delete the Workflow;

  2. Select the Workflow to be deleted.
  3. Scroll to the bottom of the page and click the Delete Workflow button, then confirm in the pop-up window.

Workflow Restoration for ELISA

  1. Access the Operational Module and select the Workflow tab. Note: You can search for this in the search bar at the top of the system by typing “workflow” and selecting the first option.
  2. In the Filters field, select the Trash option. All deleted workflows will appear.
  3. Search by name, ID, or Updated by, using the Search field.
  4. Select the desired workflow.
  5. Once the page opens, a yellow banner will appear at the top. Click the Restore button.
  6. When a window pops up, click OK.

Workflow for CFXRealTime

Workflow Creation for CFXRealTime

To create a Workflow, certain prerequisites must be met:

  • You must have a provider account and be associated with an account;
  • Have the appropriate permissions to create the Workflow;

  1. Access the Operational Module and select the Workflow tab.
    Note: You can search for this in the search bar at the top of the system by typing “workflow” and selecting the first option.
  2. Check if a workflow has already been created for the test.
  3. Click the + button in the upper left corner.
  4. Add the name of the Workflow—this name will be important for searching in the Workflow tab and for adding the workflow in the Service tab.
  5. In the Type field, select Diagnostic.
  6. In the Class field, select CFXRealTime.
    Note: This field will affect the formatting of the result release. The category “CFXRealTime” is used for Real-Time PCR tests.
  7. Select the status of this workflow. This selection will separate it in the search area.
  8. In the Technical Note PT and Technical Note EN fields, add the information that should appear in the Results Report in both English and Portuguese. Information should be added sentence by sentence.
    Note: Information should be added sentence by sentence to maintain formatting in the order added.
  9. In the Reference Value PT and Reference Value EN fields, add the reference value for the test in both English and Portuguese; this information will appear in the report.
  10. In the Method Value PT and Method Value EN fields, add the method for the test in both English and Portuguese; this information will also appear in the report.
  11. In the Report Name PT and Report Name EN fields, add the name of the test in both English and Portuguese; this will be the title in the report.
  12. Click the Create Workflow button.
  13. Click on the People tab, then click the Add People button.
  14. In the People field, select the providers involved in the workflow, then in the Time in Minutes field, add the time this provider will spend in this workflow.
  15. Click the Equipment tab, then click the Add Equipment button.
  16. In the Equipment field, select the equipment that will be used in this workflow.
    Note: These equipment items must be created in the Raw Item Module as Raw Items. Adding this equipment is crucial for releasing results in the Batch, as demonstrated in the Batch Creation Manual.
  17. In the Size field, select the unit of measurement for the equipment being added, then in the Time in Minutes field, add the time this equipment will be used in the workflow.
  18. After adding all the information, click the Save button.
  19. Click on the Consumables tab, then click the Add Consumables button.
    Note: These consumables are the raw items created in the Raw Item Module.
  20. In the Item field, select the items that will be used during the workflow.
  21. The Size field should reflect the size of the item being used in the workflow.
    Note: This size was added in the Metadata in the Raw Item.
  22. In the Quantity field, add the quantity of these items to be used.
  23. In the Sample Status of the Test field, select the status in which this item will be used.
    Note: By choosing the status, the system will only deduct this item from inventory after this status.
  24. After adding all the information, click the Save button.
  25. Click on the Result Equation tab, and click the Add Result Equation button.
  26. In the floating tab under Equation Type, select Qualitative.
  27. In the Phrase EN and Phrase PT fields, respectively, add the expected result in English and Portuguese for this first equation.
    Note: This information will be released in the report.
  28. Click the Add Conditions button.
  29. In the Channel field, add the fluorophore exactly as it will appear in the CSV file.
  30. In the Conditions field, select the end condition for this fluorophore, whether it will be greater than, less than, or equal to.
  31. In the Result Column field, add where the limit information is located in the file being imported.
  32. In the Limit field, add the limit value for this result.
  33. Click the Add Conditions button.
  34. In the Operator field, select whether the next line of the equation will be complementary (“And”) or an alternative for the same result.
  35. After adding all lines of the equation, click the Save button.
  36. Click on the next tab Validation where the technical and procedural information for the test is added.
  37. In the Attach Reference File and Attach Reference Report fields, you can add PDF files. Click the field and select the file.
    To view, click the green option on the right, and to download, click the cloud icon on the left.
  38. Click the Add Target button to add the main information about the reagent:
  • Fluorophore (Target)
  • Primer Sequences
  • Reverse Primers
  • Probes
  • Molarity
  • Target Description
  1. In the Cycling protocol field, click the +Add cycling Step button.
    Note: “Reaction Volumes” are for Real-Time PCR tests.
  2. Return to the Workflow Details tab and click the Update Workflow button.
  3. In the Cycling Stage, add the cycling information for the test; by clicking the Add Step button, you can add more rows.
  • These rows will contain the name of each cycle, duration (in hours:minutes:seconds), required temperature, number of cycles, and the selection of the reading stage.
  1. The next row is Reaction Volume where you will add the measurements of the inputs used in the reaction.
    Note: Values should be added in microliters, using a period to separate decimal places.
  2. Go back to the Workflow tab and click the Update Workflow button.

Editing CFXRealTime Workflow

To edit a Workflow, certain prerequisites must be met:

  • You must have a provider account and be associated with an account;
  • Have the appropriate permissions to edit the Workflow;
  1. Access the Operational Module and select the Workflow tab.
    Note: You can search for this in the search bar at the top of the system by typing “workflow” and selecting the first option.
  2. Search for the name of the Workflow in the Search field.
  3. Select the Workflow you wish to edit.
  4. In the first tab, after editing the fields, click the Update Workflow button.
  5. For changes in the People, Consumables, Equipment, and Result Equation tabs, click the blue button in the Action column.
    After making edits, click the Save button.
  6. In the Validation tab, to update document fields, click the field and choose a new document.
    After all changes in the Validation tab, click the Update Validation button.
